How to track job applications effectively
A privacy-aware job application tracker for deadlines, source links, tailored files, follow-ups, interviews, offers and lessons from each outcome.
A job application tracker is a private record of what you applied for, what you sent and what should happen next. It helps you meet deadlines, prepare for interviews and spot patterns without relying on an inbox or memory.
Record the source before applying
Create a row when a role becomes a serious prospect, not after submission. Save:
- Employer and role title.
- Original vacancy URL and application destination.
- Location, work mode and eligibility wording.
- Closing date and the date you checked the source.
- Source status: open, unclear, closed or removed.
- Key required criteria and important unknowns.
Keep a copy or structured notes from the posting because pages can change. Respect copyright: retain what you need privately for your application rather than republishing an employer's full description.
Track the exact application package
Record the submission date, method and status. Link the exact CV, cover letter and portfolio version sent. Note answers that materially differ from the files, including salary expectations, location, work authorisation and start date.
Do not store account passwords, one-time codes, NIN, BVN, banking details or unnecessary identity documents in the tracker. The Nigeria Data Protection Commission describes collection, storage and use as personal-data processing. Even a private spreadsheet should contain only what serves the job-search purpose and should be protected appropriately.
Use statuses that describe evidence
Choose states you can prove rather than optimistic labels:
- Saved: worth reviewing, not submitted.
- Preparing: application work has begun.
- Submitted: the application was sent.
- Acknowledged: the employer or system confirmed receipt.
- Assessment or interview: a dated next step exists.
- Offer: written terms were received.
- Rejected or withdrawn: the process ended.
- Unknown or stale: no reliable current status.
Silence is not rejection, and an automated receipt is not shortlisting. Keep those states separate so the tracker does not invent progress.
Add the next action
Every active row should have one next action and date: finish tailoring, submit, prepare an example, attend an interview or follow up after the employer's stated timeline. A tracker without next actions becomes an archive rather than a working tool.
Use calendar reminders for hard deadlines. Record time zones for remote interviews and test meeting links early. If the employer gives a timeline, use it instead of applying a universal follow-up rule.
Prepare from the record
When an interview arrives, open the exact vacancy and documents sent. Build examples around the criteria you claimed to meet. Record interviewer names and contact details only for the recruitment purpose, and avoid adding private observations that would be unfair or unsafe if exposed.
After the conversation, note the questions, evidence you used, unanswered terms and promised next step. Do not record an interview without clear permission.
Learn without false statistics
Review the tracker periodically. Group outcomes by role family, fit, source and stage. A pattern can generate a question: perhaps applications with weak required-skill matches stop earlier, or interviews expose one missing example. It does not automatically prove why an employer decided.
Avoid calculating a dramatic “success rate” from a tiny or mixed sample. Ten applications across unrelated roles do not describe a market. Use the record to improve targeting and preparation, not to judge your worth.
Close and retain deliberately
Mark closed roles and remove reminders. Keep application files only as long as they remain useful and secure. Delete unnecessary identity documents and access links. If you use a shared device or cloud sheet, review permissions and account security.
